The Happy Yogi
Privacy Statement – May 2018

The Happy Yogi is the trading name of Tina Poulson.

In brief:

Information is held on an online booking system, which is password protected and only accessed by Tina Poulson or IT staff.  

The information held is:
Name, telephone number, postcode (optional), email address, booking information, any optional information you provided about your medical history and your payment transaction information (not payment details - The Happy Yogi never has access to any card or bank account details; these are held in PayPal’s own systems).

At the time of setting up your online customer account, you were asked if you wished to receive newsletters and to consent to this by ticking a box. If you wish to change this at any time, log in to your Customer Account,  select ‘Your Profile’ and untick the box next to ‘Subscribe to our newsletter’. A link to the Customer Area is at the bottom of this page.

You will only be contacted by The Happy Yogi on the following occasions:

To confirm a booking.
To remind you about your booking on the day of the class.
To inform you of any changes to the class or class cancellations.
To confirm your own cancellation of attendance to a class.
If you are on the Waiting List for a class, to let you know about other classes with space.

You may be contacted by email or on the telephone number held in your Customer Account.

Information held

• Enquiries from non customers – message, name and email address – received via the website or by email - held for up to a year, and used to answer query and follow up.
• Mailing list – name and email address - populated by people registering on the website, or opting in on an enquiry form.  All mass mailings have an Unsubscribe link.
• Health and registration forms from students  - name, contact details and health information – completed via the website or in class - used for class management, and held for at least seven years for insurance purposes.
• Attendance registers – data collected in class - used for class management, and held for at least seven years for insurance purposes.
• Emails – sent from clients and non clients.  Important messages are saved in the filing system, otherwise emails retained for up to two years.
• Payment data, excluding card information which we do not receive at any time. Received via accounting and banking systems, and saved for at least seven years for accounting and tax obligations. 
• Website cookies set automatically by our software.  We do not knowingly access these or pass to third parties.
• Except where required by law, we do not share data with third parties or sell contact lists.

Information held by The Happy Yogi is accessed by staff working for The Happy Yogi, and contractors working on The Happy Yogi’s IT, and may be shared, on a need to basis, with substitute teachers at The Happy Yogi, e.g. if you are attending their class, or they are covering a class.
